After outsourced software goes live, how do you distinguish maintenance, defects, and new requirements?

Agree on maintenance scope before delivery. Features within the original acceptance scope that behave incorrectly should be distinguished from new workflows, platform migrations, or changes to third-party interfaces. Clear classification reduces disputes and helps prioritize issues.

Establish an issue-report format

  • Record the version, environment, steps, expected result, and actual result, attaching necessary logs with sensitive information removed. A report that simply says it does not work is usually insufficient for diagnosis. For intermittent issues, retain the occurrence time and impact scope instead of requiring users to repeatedly experiment in production.

Distinguish the sources of changes

  • First check whether the issue can be reproduced in the agreed environment, then examine whether data, dependencies, or interfaces have changed. New metrics or business rules should enter the requirements-change process. Classification must follow the contract and acceptance baseline; neither party can determine responsibility merely by labeling work a fix or an upgrade.

Agree on response and recovery arrangements

  • Specify response times, resolution targets, and support hours separately; receiving a reply is not equivalent to service recovery. For important systems, agree on rollback and on-site coordination in advance. Operations involving real equipment or critical business processes must be performed by authorized personnel.

Leave assets for continued maintenance

  • Hand over deployment configurations, log locations, dependency versions, and troubleshooting entry points so maintenance does not depend solely on the original developer's memory. Update known issues and version records when maintenance concludes. Explain the impact of unresolved issues and feasible temporary measures, rather than silently closing tickets without confirmation.
